Keynote Speaker Terms & Conditions
Evolve & Unite Festival | Portland Expo Center | November 1–2, 2025
By submitting this application and participating as a keynote speaker at the Evolve & Unite Festival, you (“Speaker”) agree to the following terms and conditions, set forth by the Evolve & Unite Foundation and hosted at the Portland Expo Center.
1. Speaker Responsibilities

The Speaker agrees to present original content relevant to the festival’s mission of mental health, wellness, healing, and conscious unity.

Speaker agrees to be available during the time slot assigned and to arrive no less than 60 minutes prior to the presentation start time.

Speaker will provide any required slides, tech requests, or special accommodations no later than October 1, 2025.

2. Content Ownership & Permissions

The Speaker retains ownership of their intellectual property; however, by participating, Speaker grants the Evolve & Unite Foundation a non-exclusive, royalty-free license to record, reproduce, and share the content (video, audio, photos, and transcripts) for future educational and promotional purposes.

If Speaker wishes to opt out of recording or media distribution, this must be communicated in writing by September 15, 2025.

3. Code of Conduct

Speaker agrees to uphold a professional, inclusive, and respectful tone in alignment with the festival’s mission and values.

Harassment, discrimination, or promotion of harmful ideologies will result in immediate cancellation of the engagement and forfeiture of any compensation or promotional materials.

4. Compensation & Perks
-
Keynote Speakers may be compensated as agreed upon in writing or may choose to waive compensation as a donation to the nonprofit. All travel, accommodation, or additional perks must be confirmed in advance.

If applicable, honorarium payments will be issued within 15 business days following the event, contingent on completion of the engagement and submission of required documentation (e.g., W9).

5. Cancellation & Force Majeure

Either party may cancel in writing with 30 days’ notice. If the event is canceled due to circumstances beyond control (acts of God, illness, pandemic, venue issues), both parties agree to reschedule in good faith or release the obligation without penalty.

Last-minute cancellations (less than 14 days) without cause may result in disqualification from future events and/or public acknowledgment of the schedule change.

6. Liability & Insurance

The Speaker agrees to hold harmless the Evolve & Unite Foundation, the Portland Expo Center, its affiliates, sponsors, and staff from any claims, losses, or damages arising from participation, except in the case of gross negligence.

Speaker is responsible for their own insurance coverage, if desired.

7. Promotional Use

Speaker agrees to allow the use of their name, photo, and biography in promotional materials for the event.

Speaker is encouraged to promote their participation via social media, newsletters, and email using the official festival media kit.

8. Agreement to Terms
​
By submitting your application to speak at the Evolve & Unite Festival, you acknowledge that you have read and agree to the above Terms and Conditions. You affirm that all information provided in your application is accurate and truthful to the best of your knowledge. Checking the agreement box on the application form serves as your digital signature of consent.
These Terms & Conditions shall be governed by the laws of the State of Oregon. All disputes relating to participation in the Evolve & Unite Festival shall be resolved in the courts located in Multnomah County, Oregon, where the event is held

​These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of law principles. Any disputes, claims, or legal proceedings arising out of or relating to participation in The Evolve & Unite Festival or dealings with The Evolve & Unite Foundation shall be exclusively subject to the jurisdiction of the state or federal courts located in Multnomah County, Oregon. By participating in the event, all parties consent to the personal jurisdiction of these courts and waive any objections to venue or forum non conveniens.
