TERMS AND CONDITIONS

REFUND POLICY:

All booth sales are final, and no refunds will be provided under any circumstances. This includes situations where the exhibitor or speaker cancels their participation, or if the event is canceled or rescheduled due to unforeseen circumstances. Once a booth reservation or speaker engagement is confirmed and payment is made, the commitment is considered final. Exhibitors and speakers are encouraged to review all event details and commitments carefully before making any payments.

YOUR APPLICATION:

Evolve & Unite Festival LLC will thoroughly review and process each exhibitor and speaker application to evaluate the eligibility of all products, services, and presentations. This process ensures that all submissions meet the event's standards and align with its overall theme and objectives. Each application will be carefully considered to determine whether the offerings are appropriate for the event and its attendees.

BOOTH SPACES INCLUDE:

Evolve & Unite Festival LLC will provide each exhibitor a booth space according to their purchase. A complimentary 6' table will be offered at no charge, for all 8'x10' booth spaces. There are no tables included in a 6'x'10 booth space.

*All booths come with (2) chairs

Please keep in mind that festival management reserves the right to change or relocate booth spaces as well as change the floorplan of the festival, if necessary.

FESTIVAL SETUP INSTRUCTIONS: 

All setup instructions will be communicated to all exhibitors and speakers one week prior to festival date. â€‹Before each festival, we offer exhibitors and speakers the chance to meet and connect during the setup day. We will send out details about the gatherings and their start times soon.

TEAR-DOWN OF YOUR BOOTH:

Tear down of your booth begins after the festival end time (the end time given to the public). If you decide to tear down your booth prior to the end time, you will not be able to participate as an exhibitor at any of our future events.

FOOD SALES:

Exhibitors and speakers are prohibited from selling food or food samples. A third-party vendor will be responsible for the sale of all food and beverages at the festival. Any exhibitor found selling food or food samples will be required to remove the products immediately.

​DISPLAY, PRESENTATION & PRICING FOR YOUR BOOTH:

All products and services must be displayed professionally with an attractive appearance. Tablecloths must fully cover the table(s). Additionally, all products and services must be clearly priced and easily seen for attendees.

​

*Exhibitors are required to have staff at their booth during open expo hours.

NO SHARED BOOTHS ALLOWED:

There is no booth sharing allowed unless approved by the festival organizer.

*For all 6x8 booths, there must only be (1) practitioner allowed per booth space.

IN CASE OF CANCELLATION:

In case of a cancelled festival, Evolve & Unite Festival reserves the right to retain all payments from exhibitors and speakers in order to cover the loss and expenses due factors out of our control (ANY unforeseen events such as natural disasters, civil unrest, etc.)

LOSS & DAMAGES:

We recommend carrying property insurance for any of your belongings, and/or goods. Security will be hired for each festival to ensure the safety of the event. However, Evolve & Unite Festival LLC and the festival venue are not responsible for any lost, stolen, or damaged property. As an exhibitor or speaker, it is your responsibility to safeguard your belongings and materials.

COMPLIANCE:

Exhibitors and speakers must comply with the Portland Expo Center's rules and regulations. No fire, no burning incense, herbs or candles, no odors (essential oil diffusers, or similar) and no firearms allowed on the premises. No smoking on the premises.

All exhibitors are fully responsible for ensuring compliance with city and state taxation, licensing requirements, and any applicable health department regulations. This includes obtaining the necessary permits or licenses for their products and services, as well as adhering to any health and safety standards that may apply. In addition, exhibitors must follow all relevant federal, state, and local laws, including but not limited to those concerning business operations, safety regulations, and consumer protection. Failure to meet these legal obligations may result in removal from the event or other consequences as deemed necessary by the event organizer.

CONDUCT:

All decisions related to event operations, including booth setup, conduct, and behavior (such as dress code and general demeanor), are entirely at the discretion of the event organizer. Evolve & Unite Festival LLC reserves the right to enforce rules and guidelines to ensure the smooth operation of the event, maintain a professional environment, and uphold the event's overall standards. Exhibitors and participants are expected to comply with any directives issued by the Promoter regarding these matters.​​

COPYRIGHT PROPERTY:

No music, literary, artistic work or other property protected by copyright will be performed, reproduced, or used, nor will the name of any entity protected by trademark be reproduced. â€‹

FAILING TO ABIDE BY THESE TERMS:

Any violation of these terms or any other rules and regulations established by the Evolve & Unite Festival LLC may result in immediate expulsion from the event, with the exhibitor required to remove their property at their own expense. Additionally, the exhibitor will forfeit all payments made under this contract, and no refunds will be issued. Evolve & Unite Festival LLC reserves the right to take any necessary actions to enforce these terms, including the removal of any exhibits or materials that do not comply with event guidelines. Exhibitors will remain liable for any other obligations or responsibilities as specified in the contract, and failure to comply may result in further legal or financial consequences.

HARMLESS FROM ANY CLAIMS:

All exhibitors and speakers are financially responsible for any damage to the Portland Expo Center property, any booth spaces, decorations, signage, and for any injuries or damages to third parties including all staff members, caused by their actions. Exhibitors and speakers must protect and hold the festival organizer harmless from any related claims or expenses, including legal fees.
