TERMS AND CONDITIONS

These terms and conditions (“Agreement”) outline the expectations, responsibilities, and guidelines for speakers participating in the Evolve & Unite Festival (“Event”), which will take place on May 31st and June 1st, 2025, at the Portland Expo Center, Portland, Oregon.

By accepting an invitation to speak at the Event, the speaker (“Speaker”) agrees to the following terms and conditions:

Event Participation

The Speaker agrees to deliver a presentation, lecture, or workshop at the Event on the agreed date and time. The Speaker’s Session will be scheduled by the Event organizers (“Organizer”) in collaboration with the Speaker.

Speaker Obligations

Content and Preparation: The Speaker agrees to provide content that is relevant to the Event theme and aligns with the values of conscious wellness, healing, and alternative modalities. The Speaker is responsible for preparing and presenting their own materials, including any audiovisual elements.

Professional Conduct: The Speaker agrees to act professionally and respectfully throughout the Event, including in interactions with attendees, other speakers, staff, and vendors.

Punctuality: The Speaker agrees to arrive at the venue well in advance of their scheduled presentation time to ensure the Session starts promptly and runs smoothly.

Speaker Fees and Compensation

Honorarium/Payment: The Speaker will not be paid for their lecture during the Evolve & Unite Festival. 

Expenses: Any travel or accommodation costs incurred by the Speaker will be covered by the Speaker unless otherwise agreed upon with the Organizer.

Rights and Ownership of Content

Intellectual Property: The Speaker retains ownership of the content presented during their lecture, including all intellectual property rights. However, by agreeing to speak at the Event, the Speaker grants the Organizer a non-exclusive, royalty-free license to use recordings of their Session for promotional purposes, social media, or post-event content.

Recording and Broadcasting: The Organizer reserves the right to record, livestream, or otherwise capture the Speaker’s Session. These recordings may be used for marketing purposes, educational content, or archived for future reference. The Speaker will be notified in advance if their Session is being recorded.

 

Event Promotion and Marketing

Promotional Material: The Speaker agrees to provide a bio, headshot, and any relevant promotional materials requested by the Organizer for use in Event marketing, such as on the Event website, social media, and print materials.

Promotion by Speaker: The Speaker agrees to promote their participation in the Event via their social media, email newsletters, and other marketing channels, if applicable, to help drive attendance.

 

Cancellations and Changes

Speaker Cancellation: If the Speaker is unable to participate in the Event due to unforeseen circumstances, they agree to notify the Organizer as soon as possible. The Speaker agrees to make every effort to find a suitable replacement or work with the Organizer to reschedule the Session, if feasible.

Organizer Cancellation: If the Event is canceled or rescheduled by the Organizer for any reason, the Organizer will notify the Speaker promptly and provide any necessary compensation or accommodations as outlined in the speaker agreement.

 

Liability and Insurance

Liability: The Organizer is not liable for any injuries, damages, or losses that may occur during the Event or while the Speaker is participating in the Event, unless caused by the Organizer’s negligence. The Speaker agrees to indemnify and hold harmless the Organizer from any claims, damages, or losses arising from their participation in the Event.

Insurance: The Speaker is encouraged to have appropriate insurance coverage for their participation in the Event, including liability and personal property insurance.

 

Code of Conduct

Respect for Attendees and Fellow Speakers: The Speaker agrees to maintain a respectful, inclusive, and professional atmosphere throughout the Event, both in-person and virtually.

Non-Discrimination: The Speaker agrees to create a safe and welcoming environment for all attendees, and will not engage in discriminatory, offensive, or inappropriate behavior.

 

Event Changes and Modifications

The Organizer reserves the right to make changes to the Event schedule, including Session times, locations, and speaker assignments, if necessary. Any significant changes will be communicated to the Speaker promptly.

 

Confidentiality

The Speaker agrees to keep confidential any proprietary or sensitive information shared by the Organizer or other participants during the Event unless otherwise agreed upon in writing.

 

Governing Law

This Agreement will be governed by and construed in accordance with the laws of the state of Oregon, without regard to its conflict of laws principles.

By accepting this invitation to speak at the Evolve & Unite Festival, the Speaker acknowledges that they have read, understood, and agree to abide by these Terms and Conditions.
