1. Purpose of this Agreement

This document outlines the terms of your volunteer involvement with the Evolve & Unite Festival, an event organized by the Evolve & Unite Foundation, in partnership with the Portland Expo Center. By agreeing to these terms, you confirm your willingness to participate as a volunteer and your understanding of the expectations, limitations, and responsibilities of the role.

2. Volunteer Status

​

• All volunteers serve in a non-paid, at-will capacity.

• You are not considered an employee, contractor, or representative of the Foundation or the Expo Center.

• There is no financial compensation, reimbursement, or benefits offered in exchange for services. Any perks provided (e.g., festival pass, food/drink access) are offered solely as a token of appreciation.

3. Expectations & Commitments

​

Volunteers are expected to:

• Commit to at least one 4–6 hour shift per day they attend (unless otherwise arranged).

• Show up on time, ready to contribute to their assigned role.

• Attend a virtual orientation before the event (October, date TBA).

• Communicate promptly with staff if availability changes or emergencies arise.

Volunteers may be asked to assist with:

• Guest check-in and greeting

• Workshop or stage support

• Zone maintenance and presence

• Vendor relations

• Emotional wellness support (if qualified)

4. Code of Conduct

​

We expect all volunteers to uphold a standard of kindness, professionalism, and community care. This includes:

• Treating all guests, vendors, staff, and fellow volunteers with respect

• Refraining from discrimination, harassment, or inappropriate behavior

• Following all instructions from event coordinators and zone leads

• Creating a safe, inclusive, and welcoming environment

• Staying substance-free and clear-headed during your shift

Violation of this code may result in immediate removal from the event and disqualification from future volunteer opportunities.

5. Liability & Risk

​

By participating, you acknowledge and accept the inherent risks associated with working at a public event.

You agree to:

​

• Release the Evolve & Unite Foundation, the Portland Expo Center, and all affiliated staff and partners from liability for injury, loss, or damages resulting from your volunteer service, except in cases of gross negligence or intentional misconduct.

• Follow all venue rules, safety procedures, and emergency protocols.

If you feel unsafe or unwell at any time, you agree to notify a supervisor or staff member immediately.

6. Confidentiality

​

If you witness or assist with sensitive situations (emotional distress, incident response, etc.), you agree to maintain appropriate confidentiality and not share personal attendee information with anyone outside the event team.

7. Media & Photography Consent

​

You grant the Foundation permission to photograph or record you during your volunteer shift, and to use those images or videos for promotional and archival purposes.
If you do not consent to media use, please notify our team in writing before the event.

8. Removal or Reassignment

​

The Foundation reserves the right to:

• Remove any volunteer who fails to meet expectations, is disruptive, or poses a safety risk

• Reassign volunteers to different roles based on real-time needs

9. Acknowledgement

​

By checking the agreement box on your application, you confirm that:

• You have read and understood these terms

• You agree to uphold your commitment and support the event to the best of your ability

• You release the Foundation and the Portland Expo Center from liability related to your participation

These Terms & Conditions shall be governed by the laws of the State of Oregon. All disputes relating to participation in the Evolve & Unite Festival shall be resolved in the courts located in Multnomah County, Oregon, where the event is held

​These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of law principles. Any disputes, claims, or legal proceedings arising out of or relating to participation in The Evolve & Unite Festival or dealings with The Evolve & Unite Foundation shall be exclusively subject to the jurisdiction of the state or federal courts located in Multnomah County, Oregon. By participating in the event, all parties consent to the personal jurisdiction of these courts and waive any objections to venue or forum non conveniens.
