General Agreement

By applying to sponsor the Evolve & Unite Festival, you agree to abide by the guidelines and values outlined here. Sponsorship is subject to approval by the festival team and may be revoked at any time if misalignment is found.

Payment & Refund Policy

Full payment is due upon approval to secure your sponsorship tier. All payments are final and non-refundable, including if the festival is postponed or rescheduled.

 

​In the event of cancellation due to force majeure (e.g. natural disaster, civil unrest), sponsorship will transfer to the next scheduled event or may be partially refunded at the discretion of the organizers.

​

Brand Representation

Sponsors must submit high-resolution logos and copy by the agreed deadlines. Sponsorship benefits (e.g., logo placement, mentions, ads) will only be fulfilled once payment is complete.

 

​The festival reserves the right to approve all promotional content or activations associated with its name and branding.

​

Alignment & Ethics

• We welcome sponsors who share our values of inclusivity, integrity, sustainability, and conscious leadership.

• The festival retains the right to deny or terminate a sponsorship if the brand is found to promote harmful practices, misinformation, or unethical behavior.

 

Activation & Deliverables

• Sponsors are responsible for providing any physical materials (banners, signage, giveaway items) by designated due dates.

• Vendor or activation spaces must follow festival booth setup guidelines, including no open flames, strong fragrances, or amplified sound without prior approval.

Mutual Support

• We encourage cross-promotion. Sponsors are invited to share the festival across their email and social platforms.

• A digital sponsor media kit will be provided upon approval.

Right to Refuse or Cancel Sponsorship

Evolve & Unite Festival LLC reserves the right to refuse or cancel any sponsorship at any time if the sponsor’s actions or affiliations are found to be in conflict with the mission, values, or safety of the event.

Limitation of Liability

The festival is not liable for any indirect, incidental, or consequential damages arising from the sponsorship agreement or participation. All sponsors assume full responsibility for their brand’s representation and onsite activity.

Force Majeure + Flexibility

In the event of unforeseen circumstances, the organizer reserves the right to modify, reschedule, or cancel any aspect of the festival. Sponsors agree that alternative arrangements or credits may be offered in lieu of refunds.

Use of Brand & Content

By agreeing to sponsor, you grant Evolve & Unite Festival LLC the right to use your logo, name, and promotional materials in all related media, before and after the event.

Indemnification Clause

Sponsors agree to indemnify and hold harmless Evolve & Unite Festival LLC, its organizers, volunteers, and affiliated partners from any liability, claims, damages, or legal expenses arising out of their sponsorship participation or related activities.
