Artist Demos Terms & Conditions

Evolve & Unite Festival | Portland Expo Center | November 1–2, 2025

This agreement is made between the Evolve & Unite Foundation, a registered nonprofit organization, and the individual artist (“Participant”) selected to participate in a Live Art Demonstration at the Evolve & Unite Festival held at the Portland Expo Center.

By agreeing to participate, you acknowledge and accept the following terms:

1. Nature of Participation

  • This is a non-paid, volunteer-based opportunity.

  • The Participant is invited to create live artwork on-site as part of a scheduled demonstration intended to enrich the experience of festival attendees.

  • This is not a vending or sales opportunity. No artwork, prints, or merchandise may be sold or promoted for sale during the live demo unless the artist has secured a separate vendor booth through the festival's Conscious Marketplace.

2. Schedule & Access

  • Each Participant will be assigned a designated 2–4 hour demo time block on either Saturday or Sunday during festival hours.

  • Participants are granted limited, scheduled access to the Portland Expo Center for the purpose of their demo only.

  • Early arrival and timely breakdown are required. Specific arrival instructions and timing will be provided in advance.

  • Late arrivals may forfeit their participation.

3. Equipment & Setup

  • The Evolve & Unite Foundation will provide a basic space for the live demo.

  • Participants are responsible for bringing all personal art supplies, easels, tools, drop cloths, and any setup materials required for their work.

  • Access to seating and electrical outlets will be provided upon request (subject to availability).

4. Conduct & Representation

  • Participants agree to conduct themselves professionally and respectfully toward staff, volunteers, attendees, and other participants.

  • Language, imagery, and behavior must be family-friendly and aligned with the inclusive, trauma-informed values of the Evolve & Unite Festival and the Portland Expo Center.

  • No political campaigning, hate speech, or discriminatory expression is permitted.

5. Sales & Promotion

  • Sales of any kind during your live demo are strictly prohibited unless you have applied for and been accepted as a vendor.

  • Promotional signage or price tags are not permitted at the demo table or space.

  • You may verbally share your social media or portfolio with attendees, but may not solicit purchases or commissions during your time slot.

6. Photography & Media Release

  • By participating, you grant permission to the Evolve & Unite Foundation and the Portland Expo Center to photograph, film, and publicly share images and video footage of you and your artwork created during the festival for promotional and documentation purposes.

  • No compensation is provided for such use, and credit will be given where possible.

7. Liability & Risk Acknowledgement

  • The Evolve & Unite Foundation and Portland Expo Center assume no responsibility for lost, stolen, or damaged artwork, tools, or personal belongings.

  • Participation is voluntary and at your own risk. You agree to take full responsibility for your equipment and workspace.

  • You agree to indemnify and hold harmless the Evolve & Unite Foundation and the Portland Expo Center, their staff, board, volunteers, and affiliates, from any liability, claims, or damages resulting from your participation in this activity.

8. Cancellations & Withdrawal

  • If you must withdraw your participation, you agree to notify the event team at least 7 days in advance so your time slot may be reassigned.

  • No-shows or last-minute cancellations may result in disqualification from future opportunities with the Evolve & Unite Foundation.

9. Agreement & Acknowledgement

Before submitting your application, please read and acknowledge the following:

By applying to participate in the Live Art Demo at Evolve & Unite Festival, you confirm that you have read and understood the Terms & Conditions. This is a volunteer-based opportunity. You will not be compensated, and you may not sell or promote the sale of your artwork during your demo. If you wish to sell your work, you must apply separately for a vendor booth.

You are responsible for your own materials, setup, and conduct. You agree to arrive on time, respect the space and community, and follow all festival guidelines.

By checking the box on the application form, you agree to abide by these terms and release the Evolve & Unite Foundation and the Portland Expo Center from any liability related to your participation.

These Terms & Conditions shall be governed by the laws of the State of Oregon. All disputes relating to participation in the Evolve & Unite Festival shall be resolved in the courts located in Multnomah County, Oregon, where the event is held

​These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of law principles. Any disputes, claims, or legal proceedings arising out of or relating to participation in The Evolve & Unite Festival or dealings with The Evolve & Unite Foundation shall be exclusively subject to the jurisdiction of the state or federal courts located in Multnomah County, Oregon. By participating in the event, all parties consent to the personal jurisdiction of these courts and waive any objections to venue or forum non conveniens.
